How long we keep information
All information will be kept securely until your child is 25 years old or if still receiving treatment at the age of 17, until they are 26 years old. After this time all records relating to your child will be destroyed.

Who we share information with


Data processors including:

  • Write Upp http://www.writeupp.com/privacy-policy.pdf. Write Upp is a secure electronic cloud-based system and is compliant with general data protection regulations. Prior to being uploaded to this system documents may be temporarily stored on an encrypted memory stick, which is only accessible via a password held by me. Any paper based personal information such as assessment record forms are stored securely in accordance with the Information Commissioner's Office (ICO) data protection regulations before being scanned and uploaded to your child's record on WriteUpp. Once a paper document has been uploaded the original copy is shredded and disposed of.

We are subject to a common law duty of confidentiality. However, there are circumstances where we will share relevant health and care information. These are where:

  • You’ve provided us with your consent (we have taken it as implied to provide you with care, or you have given it explicitly for other uses);
    we have a legal requirement (including court orders) to collect, share or use the data;
  • On a case-by-case basis, the public interest to collect, share and use the data overrides the public interest served by protecting the duty of confidentiality (for example sharing information with the police to support the detection or prevention of serious crime);
  • If in England or Wales – the requirements of The Health Service (Control of Patient Information) Regulations 2002 are satisfied; or
  • If in Scotland – we have the authority to share provided by the Chief Medical Officer for Scotland, the Chief Executive of NHS Scotland, the Public Benefit and Privacy Panel for Health and Social Care or other similar governance and scrutiny process.

Please note - an executor has been appointed that will handle Speech Therapy Warwickshire Limited’s affairs in the event of the death or incapacity of the company director. The executor will be granted email access and will be able access the personal data held by Speech Therapy Warwickshire Limited. The executor will dispose of all clinical information in a manner that preserves the confidentiality of the record. Confidential paper records will be placed in confidential waste bins and digital records will need to be either physically destroyed or erased to the current standard. All copies of a record, in whatever format, will be destroyed at the same time. However, the executor will ensure all associate therapists working for Speech Therapy Warwickshire Limited receive a copy of  the personal information of their customers prior record disposal. The executor will perform an Access Request from WriteUpp case management system and collate the information into a ZIP file which will be downloaded and saved by each therapist.
